How to send a large Keynote file

A Keynote with a few video clips is easily 300 MB, and email gives up around 25 MB. Here are the four ways to get it to someone, what each one asks of the person receiving it, and the one that does not need them to have Keynote at all.

The short answer

If they need to edit it, send the .key with Mail Drop, WeTransfer or a cloud folder. If they only need to watch it, export it to HTML and send a link: nothing to download first, and it plays on any phone.

Option 1: Mail Drop

In Apple Mail, attach the .key and send. When the attachment is too big for your mail server, Mail offers to send it with Mail Drop. Apple's limits: up to 5 GB per message, and the recipient has 30 days to download it. They still receive a .key file, so they need Keynote on a Mac, iPhone or iPad to open it.

Option 2: a transfer or cloud link

WeTransfer, Dropbox, Google Drive and iCloud Drive all move big files. The catch is the same: the recipient downloads a .key and opens it in Keynote. Dropbox's browser preview of a Keynote file shows only the first slide.

Option 3: make the file smaller

File → Reduce File Size scales large images down and can convert movies to a smaller format. It might take 300 MB to 100 MB. It will not get a deck with real video under an email limit without visible loss. The guide to reducing Keynote file size covers what to trim first.

Option 4: send the deck as a link

  • In Keynote for Mac: File → Export To → HTML, and save the folder.
  • Right-click the folder and choose Compress.
  • Upload the .zip on linkdeck.me and copy the link.
  • Send it by email, WhatsApp or Slack. The deck plays in the browser with builds, transitions and video inside the slide; sound starts on the first tap.

Questions

Why does my Keynote fail to send by email?

Most providers cap a message at around 20 to 25 MB, and attachments grow by about a third when they are encoded for sending. A Keynote with any video is well past that.

What if the export is over 500 MB?

Trim clips to the seconds you show, export them at 1080p, and run Reduce File Size on a copy before exporting to HTML. The limit is 500 MB per deck on Pro and 200 MB on Free.

Does the recipient need Keynote for the link?

No. A Linkdeck link opens in any modern browser on iPhone, Android, Windows or Mac, with no app and no Apple ID.

Send the 300 MB deck as a link

Export to HTML, compress, upload. Free up to 200 MB for 3 days; Pro (€12 a month) takes 500 MB per deck and keeps the link.
